Swish Maintenance Ltd.

Swish Maintenance Quality Cleaning Products began in 1956 in Peterborough, Ontario. Since that time, the company has grown to become a multiple location sanitation product manufacturing and distribution company that supplies markets throughout Canada and USA.

Swish Maintenance joined DTA Services Ltd. in May 2009, and from the start DTA wanted to convert the laborious task of manually coding hard copy freight invoices to applying business logic on electronic invoices.

Swish accounts payable was taking hours applying codes on courier and less-than-truckload invoices, then had to summarize each general ledger allocation and make postings against the invoice. DTA saw this challenge as an opportunity to elevate this mundane task so that better time could be spent on less clerical accounts payable matters.

Because there were many nuances, the application of the codes had to be assigned by accounts payable with a time efficient process. During the processing of the very large weekly Purolator statement, for example, the DTA IT team created a weekly file that is now emailed to Swish, reviewed and analyzed, then imported back into the DTA system. This process helped the Swish accounts payable department code more efficiently and cut time. Further, it totally eliminated the tedious summarization step once handled manually.

Once the electronic Purolator and Swish files where lined up and working efficiently and effectively, Swish were very pleased with the results. Great efficiency was established through summarizing all the GL codes. And of most importance, this entire re-engineering of the process saved 4 hours a week, total of 16 hours a month.
